Six things worth putting in the first email

We can respond to "we need an ITAD quote" but the answer will be a request for the information below, which costs both of us a week. Including it up front gets you a substantive first reply.

  • Approximate quantities and device classes — endpoints, mobile, servers, storage, networking
  • How many sites, and roughly where they are
  • Whether anything is under legal hold or subject to a retention requirement
  • Your deadline, and what is driving it (lease expiry, refresh, audit finding, closure)
  • Any regulatory framing your team works under — HIPAA, GLBA, FERPA, PCI-DSS
  • Whether you need equipment collected, or already have it staged somewhere

None of it has to be exact. An honest estimate with the uncertainty stated is far more useful than a precise-looking number from a register nobody has reconciled.

Before you get in touch

What happens after I get in touch?
A scoping conversation, not a sales sequence. We want to establish what is actually in your estate, what evidence you need at the end, and whether we are a sensible fit. If a requirement is outside what we can do well, we would rather say so at that point than after a contract exists.
Can we visit the facility?
Yes. Client compliance officers and designated third-party auditors can schedule a facility walkthrough and records review with 48 hours' notice — before contracting as readily as after. It is the fastest way to establish whether a provider's description of itself is accurate.
Do you work with organizations outside Texas?
Yes, across the United States and Canada. Processing consolidates into our Lewisville facility, and our Canadian operation in London, Ontario serves clients who need in-country handling. Collection is national.
How quickly can you respond to an urgent situation?
Call rather than email if a deadline is measured in days. Surge staffing supplements our core team within 24 to 48 hours and dedicated processing zones can be stood up inside a day. The constraint on an urgent exit is usually establishing what is in the building, not our capacity.
Will you sign an NDA before we discuss details?
Yes, and for most enterprise conversations that is the sensible first step. Send yours; if you would rather use ours, ask.
Do you charge for scoping?
No. Scoping, questionnaire completion and a facility walkthrough are part of establishing whether the relationship makes sense. What we will not do is quote a price against an estate nobody has characterised — that number would be fiction, and it would change.
